Parliamentary Terms to Know

Before parliamentary procedure can be effective, members must be familiar with frequently used terms.

 Adjourn - to end a meeting

Amend - changing a motion by striking out, inserting, adding to, or substituting

Chair - the presiding office; “addressing the chair” means speaking to the president or chairman

Debate - the parliamentary name given to the discussion of a motion

Ex Officio - by virtue of the office.  A member of the committee by virtue of being president may vote unless specified otherwise in bylaws.

Floor- the privilege of speaking before the assembly.

Majority - one more than half of the number voting

Minutes - official record of business transacted in a meeting

Motion - a formal proposal for action by the group

Question - the item of business before the assembly for vote

Quorum- the number or proportion of members required to be present for business to be transacted

Resolution - a form of main motion which may or may not have a preamble describing the reasons for that proposal

Second- motions are seconded bya member of the assembly; an action which indicates interest of at least a second member in bringing the question before the group.

Table - a motion “to table” allows the assembly to put aside the pending question temporarily when something more urgent has arisen

Viva Voce - by word of mouth, spoken or oral.

NOTES FROM THE PLANNING RETREATCAPTAIN’S COVE RESORTTAYLORSVILLE, KENTUCKY The Retreat at Taylorsville Lake was a great success on many levels. The time spent getting to know each other was great and a time to just relax and unwind was good too.  

The following suggestions/recommendations/thoughts came from the meeting. I am sure I will miss several (or maybe remember them incorrectly), so please let me know anything I miss or if you remember anything differently from what I write . There was too much to remember or write down all of it! 

  1. Recruiting and Retaining members: Several ideas including having a FaceBook page for the Chapters and/or MALs was suggested. Other electronic means of communication were discussed as well. 
    • Continue to try to keep MALs involved and/or informed of Division events. 
    • Programs with computer content and other topics pertinent to admins. 
    • Contact by the President with members whose renewal date is close was discussed. Help with a wording that will not sound negative was given. The idea of the President sending a personal message just expressing the hope that membership is of value and that the member would be renewing, was suggested. A “draft” will be presented to the Board at Fall Board for suggestions. 
    • Communication, communication, communication.  
  2.  Annual Meeting Discussion:
    • There were lots of ideas and issues discussed and I will not try to cover all of them. Kay (A.M. coordinator) will be communicating most of the things discussed with the persons involved as the need arises. A few of the topics discussed:   The format will be (times are approximate!) –
      • NO SEMINAR ON FRIDAY AFTERNOON! 
      • Friday evening - Event begins Friday night at approximately 5:30 with a short networking session and welcome (light refreshments) and workshop/seminar (approximately 6 to 8 p.m.); Delegates Briefing immediately after the seminar.
      • Saturday Business meeting 8:30 or 9 a.m. until noon.  Luncheon about noon to 1 or 1:30 – A suggestion to not present the Education and Membership awards at the 2010 A.M. will be presented at Fall Board. If there are no objections, the Members of Excellence and Chapters of Excellence for 2008-2009 will be recognized.  
      • Seminar – Will be held Saturday afternoon. Suggestions for speakers was given and it was left up to that Committee to negotiate a price as attractive as possible for a worthy presenter.  
  3. IF there is still business to be conducted, the business meeting will reconvene after the seminar   
  4. Banquet Saturday night – 6ishIncoming reception ? at discretion of Chapter of incoming President 
  5. Sunday morning breakfast and joint board meeting 
  6. Committees are -   
    • Hospitality – Hopkinsville Chapter
    • Friday Night – Northern Kentucky Chapter - Speakers/Presenters were recommended for this event  
    • Luncheon – Paducah Kentucky Lake Chapter - Speakers were also suggested for this event 
    • Banquet – Louisville Chapter - Ideas for entertainment were share
    • Sunday morning Breakfast and Joint Board – Blue Grass Chapter - Ideas for an inspirational message were discussed.  
  7. The President will make outgoing remarks during the business session on Saturday morning at the place usually reserved for a Keynote speaker. Incoming President’s remarks will still be at the Saturday night banquet. 
  8. Bags with the IAAP – Kentucky Division emblem will be given to First Time attendees. Fifty bags with IAAP – Kentucky Division emblems will be purchased and used for future Annual Members for first time attendees.
    • Bags will contain (at a minimum) a basic program with Agenda,Meeting Rules, list of attendees, list of vendors/sponsors, Committee Chairs and members, and Evaluation forms. Possibly could include past Presidents and Past Sotys and Wilma Yeary Award recipients for edification of new members.
    • Inexpensive canvas bags will be given to other members.
    • Name tags will be furnished and a “recycle” box will be available to collect the plastic badges to be reused.  
  9. Hopefully, there will be Vendors and sponsors and an Expo from Saturday morning until mid afternoon.  
  10. Registration fees will include as much of the cost of the usual events and as much of the cost of the seminar as is feasible.  
  11. THEME: PLUG INTO THE POWER OF COMMITMENT    
  12.  Fund raisers - Several ideas were offered.  
    • A 50/50 raffle since RTF is doing the White Elephant sale this year… EBay type raffle with donated item(s)… 
  13.  Strategic Plan…Discussed  adding succession planning to the Strategic plan. No decision was made for sure. Any changes to this plan will be discussed with Susan, or at a meeting specifically for Strategic planning if Susan decides to do that, and presented at Annual Meeting.
  14. Member at Large Discussion:  Jo asked for help in knowing how to meet the needs of the Member at Large. Consensus was…communication, communication, communication. She was encouraged to share the process she has used this year with future MAL Liaisons.  
  15. Lots of general discussion. You had to be there!

From Kentucky Division President

I am preparing to leave for Minneapolis, MN, for EFAM (Education Forum and Annual Meeting) formerly known as International. This will be my 7th EFAM. I am especially excited this year to be going as the Kentucky Division President. Must say, I never thought those words would come out of my mouth! I am looking forward to having breakfast Monday morning with other Division Presidents for what I am sure will be a great networking session.  I am also planning to meet with your own Kay Hays CAP, the 2010 Kentucky Division Annual Meeting Coordinator, while in Minneapolis to begin planning for the Ky Div 2010 A.M. event. The contract has been signed with Holiday Inn of Bowling Green for June 4-5-6, 2010. Be thinking about which committee you would like to serve on. Maybe, if you are a Chapter member, your Chapter can serve as a whole on a specific function. I think it will be a GREAT annual meeting and you will want to be there. Helping or chairing a committee will give just another opportunity to adance as a professional.

While I am in Minneapolis, I will be blogging on this site, possibly on the IAAP Facebook site, and maybe even a tweet or two on Twitter. Oh so many ways to keep in touch in this day and time. 

 I hope the year as a member of Kentucky Division IAAP is meeting your expectations. We have soooo many things planned. Don’t miss Leadership (August 22) if you can possibly help it. The Board will have a planning meeting (Retreat!) in September. Send suggestions for things you think we might need to address for the coming year or for the future of the Division to me at President@iaap-kydivision.org. Fall Board (October 23-24) is shaping up to be an expectational meeting. Jacky Ammerman CAP, Kentucky Division President Elect, will have a “class” Friday night from 7-9 (Eastern Time) before the Saturday Board meeting, on computer-communication and information sharing processes. Class will be at no charge if you are registered for the Saturday meeting. If you know Jacky, you know she is a wealth of information and I can’t wait to tap into some of that knowledge. Recertification points will be offered. Saturday afternoon, Shari Peace will again be the presenter for a seminar. That seminare will be “Getting Along - How to Build Relationships that Work.” Make plans to attend.

Either October of November will be a MAL (both Division and International) meeting. This is in the early planning stages, so any suggestions as to time, place, and content are being accepted and taken into consideration. And then, ta da - it’s the Holidays! Whew! First thing you know, we will be having to get used to saying 2010.

I hope you are completing the Dares for this year. I have really, really enjoyed reading the responses, and I promise I won’t read EVERY one of them at Annual Meeting next year, so you can still come to the banquet! I have had a couple members tell me they are not reporting to me or the Website, but are keeping their paper journal and will give it to me at Winter Board. I am looking forward to reading those. Whether you are doing the specific dares or not, just keep talking to others about IAAP and use every opportunity to let others know what a valuable and worthy organization it is.

I promise I won’t write this much every day at EFAM. Really, I probably won’t have enough time to anyway!! Catch you later!

Cell Phone / Blackberry Etiquette

Etiquette expert, Helena Echlin, was featured on today’s episode of Rachel Ray.  The question that she receives most often has to do with using cell phones/Blackberry devices when having dinner in a restaurant.  Helena’s advice, regardless of whether you are the host or the guest, is to allow the others at the table see you turn off your device and they will feel special realizing that they will have your undivided attention.

2009 Kentucky Division Administrative Professional of the Year

The 57th Annual IAAP Kentucky Division Annual Meeting is being conducted in Lexington this weekend and is providing a wonderful opportunity for IAAP members to come together for networking, leadership building, educational opportunities and fellowship.

The Division also conducts annual recognition to honor of the achievements of IAAP members statewide.  Members and Chapters were recognized for achieving certifications (CPS and/or CAP), recertifications, receiving college degrees, years of service, etc.

Effective in 2004, the most prestigous award to be issued by Kentucky Division is the Wilma Yeary Award.  The recipient of this award is a member who achieves the highest score for their activities at the chapter, division and international level as well as their community involvement and furthering education. 

The 2009 Wilma Yeary Award Recipient is Gloria Stewart, CPS/CAP.  Gloria is the Chapter President for the Paducah-Ky Lake Chapter and was also recognized as their Administrative Professional of the Year.  Gloria is very active in the community through various volunteer activities with the Muscular Dystrophy Association and 4-H; she continues to further her education through IAAP workshops as both an attendee and a presenter; Gloria continues to serve the chapter in various leadership roles. 

Other members of this elite group of recipients are:
