Update!!! The current form issued to the Chapter Presidents sadly leaves out points for attending the Winter Board meeting.
Rather than re-issue the forms, if you attended the Winter Board meeting in March please manually note your form with 5 points for attending the Winter Board meeting.
If you have already submitted your form (like me), please send a quick note to your Chapter President to add that 5 points to your form.
Thanks, and don't forget to submit your form!!!!

P.S. I don't think we have a Decorations committee any more or a Printing committee. The only printing is the program book (not including the name tags which are done by the Registration Committee). The hotels can usually provide some type of table decoration at no cost.

P.S.S - Does anybody read this?

As a much simpler answer to changing the whole procedure, has any consideration being given to the idea of letting the host chapter split the financial proceeds with Division.

I would think it would be a tremendous incentive to the host chapter to do well so that A) they could get some of the money or B) they would avoid having to share in a loss.

I see many benefits in keeping the work contained to the host chapter. There are so many tasks that must be done in the host town.

Also, when it comes to recruiting division officers, vastly increasing their responsibilities is not going to be a big draw.

Maybe this could be tried for a few years and if it is a total failure, then re-do everything.

I will not be able to attend the meeting this weekend. Below are my comments.

I would like to see the meeting locations rotated around the state as they currently are. However, I would recommend the Annual Meeting become a Division Committee. A couple of options: Each Chapter President/MAL Representative be an automatic member with the option that the Chapter President could reassign their position to any chapter member. Have the Chair select their own members but making sure each chapter is represented, again the Chapter President would be the default member if no other chapter members volunteered. The main point would be to have a person from each chapter and the MAL's represented.

The local chapter could recommend a hotel, entertainment, etc. as they would be more familiar with the area, however, anyone could make the phone calls and arrangements.

Meetings could be conducted via conference call.

Each chapter could take one portion of the meeting: speakers, food, door prizes, entertainment, vendors, etc.

Friday afternoon sessions are worthwhile. However, many are not able to leave work early to travel, etc. Would it be possible to have the Friday afternoon sessions be available by webcast (like the admin day webcast)? This way participants would be able to view the session via their computer. I have no idea what this would cost. Possibly a sponsor could be found to cover the cost and nominal charges could continue for those that would like to participate. Or some type of netmeeting/live meeting. Participants would need to have the software installed on their computer for this type of meeting to work.

A thought for a possible topic at a future meeting: Technology which would be phone conferencing, webcasts, netmeeting/live meeting, etc. Possibly a vendor would be willing to participate and would work a deal on pricing. Many companies are going this route to save on travel costs.

Another thought for the Friday sessions would be to have some kind of self-study course developed. HQ has many books that could be used and are approved for recert points. A short recap could be held in-person at the annual meeting.

The Friday seminars could be moved to Sunday afternoon. Maybe just an hour seminar. People would already be there. This would save on leaving work early and possibly an additional night in the hotel.

That's about as out-of-the-box thinking I can do right now.

Good Luck!

I guess I'm not into technology like some of you are. While I am willing to participate in a
phone conference, I think a face-to-face brainstorming session, at least for the initial meeting, would be most beneficial. Years ago when the Division hosted an SEDC meeting this is the way we handled the first meeting. It seems to me it would be easier to feed off each other's ideas and comments when you can see who is talking as well as hear them. Never having participated in a phone conference I'm not sure how well it works when you get 5 or 6 women on the phone all trying to talk at once. I know everyone's time is at a premium, and phone conferences might be cheaper in terms of travel time, etc. Maybe we could do this on Friday evening before Winter Board. Just my suggestion. I will comply with the majority's wishes.

Great brainstorm! Just what we need to begin a dialog. Some of the same thoughts I had, but I must admit I did not project the 5-10 year forcast. I was just thinking the next year. Shortsighted of me I now realize. Thanks, Jacky.

I am not sure this committee will have time, or is commissioned with the level of determining Friday night activities, seminars, and other meeting content decisions. That line will get us into a pretty broad range of topics. Not sure if we can solve all those problems in this short time or if that even is/was our mission. I would like to establish the backbone of the A.M. Committee so we can present a well-defined motion at Winter Board, which in turn defines the Committee, who in turn should make the decisions on content, duration, and processes of the meeting, which in turn will necessitate ByLaws/SRs revisions, etc. Maybe I am being too short-sighted in my thinking yet again. I kinda cringe at the scope of the task of "planning" annual meeting AND formulating the committee.

I think one of the objectives should definitely be inclusion of MALs. I think that has been one of the prompts to redesign the coordination of Annual Meeting for some time. One of the decisions of this Ad Hoc Committee will be to determine how to view all members as potential A.M. committee members instead of just thinking "chapters." I believe which Division Officer chairs the A.M. Committee will be an essential part of the motion this Committee will present at Winter Board.

I too hope others, committee members and beyond, will give input here. As I said, Jacky's comments made me think of some things I had not considered.
